Saving PowerPoint Slides as Images
As discussed in the previous page, the recommended method to achieve
an accessible PowerPoint presentation is to "Make a Webpage"
by creating separate webpages
for each slide ,or one
webpage for the entire presentation. In this module, a sample twelve
slide PowerPoint presentation (HCI.ppt) that contains information which
is common to most higher-education courses (syllabus, grading, professor
contact, and textbooks) will be made into one webpage.
To set-up making a PowerPoint into a webpage, two processes need to
be completed:
- Create folders to organize
the files.
- Save all slides as images.
It is recommended that you create one common folder, also known as a
directory into which you place all the files associated with the PowerPoint
presentation.
To create a folder:
- Go to the location on your computer where you want to create the folder.
For this example, go to the desktop of your computer and select "My
Documents."
- A new window called "My Documents" is displayed. Select
"File" then "New" and then "Folder."
- A folder called "New Folder" is created; rename the folder
with a descriptive name. For this example, name the folder "Mod3_PPT_to_Webpage."
Tip: File names containing spaces
are not supported by many browsers or the standard for HTML. If
a file name contains more than one word, use an underscore ( _ )
in place of the space or put the words together, capitalizing only
the first letter of each additional word (even if the word is an
acronym).
- Into the folder you created, copy the PowerPoint presentation that
you want to make into a webpage. For this example, download the sample
PowerPoint presentation, HCI (
,
184 KB) into the folder, "Mod3_PPT_to_Webpage."
A webpage is usually associated with other files, such as images or
audio. To provide further organization, files of the same type should
be grouped into their own folder within the common folder; this is called
a subfolder, also known as a subdirectory.
To create a sub-folder:
- Select the folder where you want to place the sub-folder. For this
example, go to the desktop of your computer, select "My Documents"
then "Mod3_PPT_to_Webpage."
- A new window called "Mod3_PPT_to_Webpage" is displayed.
Select "File" then "New" and then "Folder."
- A subfolder called "New Folder" is created; rename the subfolder
with a descriptive name. For this example, no subfolder is needed; select
"Cancel."
To enable viewing the PowerPoint slides in their original format, all
the slides will need to be saved as images; this process is mostly automated
through the PowerPoint program.
To save slides as images:
- Open your PowerPoint program.
- Go to the "File" menu and select "Open."
- An "Open" dialog box appears; browse to the location of
the PowerPoint presentation that you want to convert. For this example,
open the sample presentation (HCI.ppt) within the "Mod3_PPT_to_Webpage"
folder of "My Documents."
- After the PowerPoint presentation has loaded, go to the "File" menu
and select "Save As..."
- A "Save As" dialog box appears; make certain that the "Save
In" drop down box is displaying the same folder that contains the PowerPoint
presentation. For this example, the folder should be "Mod3_PPT_to_Webpage."
- In the "File name" text box, enter this text: "images."
- From the "Save as type" drop down box, select "JPEG File
Interchange Format" (see Image
4).
Tip: JPEG is a format for an image
that is quite common and typically smaller in size than other image
formats.
- Select "Save".
- A dialog box appears asking if you want to export all slides in the
presentation. Select "Yes" (see Image
5).
- The PowerPoint program now creates an image file named "Slide1.JPG",
"Slide2.JPG", etc. for each slide of the PowerPoint presentation in
a new folder named "images."
- When all slides have been exported as images, a dialog box will appear;
select "OK".
Verify Images are Saved in the Correct Location
Sometimes when the slides are exported as images, PowerPoint will create
its own subfolder into which all the image files will be saved. Usually
this subfolder is given the same name as the PowerPoint presentation that
is being converted but without the .ppt extension. For example, when saving
the images of the sample PowerPoint presentation (HCI.ppt), a subfolder
named HCI may be created by the PowerPoint program.
Note: It is important to verify the location
of your image files before proceeding to convert the PowerPoint slides
to accessible content in the template for the one webpage.
To verify images are saved in the correct location:
- Browse to the location of the common folder that is being used to
hold all the files associated with the PowerPoint presentation that
you want to "Make a Webpage." For this example, go to the desktop of
your computer and select "My Documents." then "Mod3_PPT_to_Webpage."
- A new window called "Mod3_PPT_to_Webpage" is displayed;
view the contents of this folder. For this example, there should only
be one subfolder named "images".
If there is only one subfolder named "images":
- Select the subfolder to view its contents. For this example, the "images"
subfolder should contain an image file of each slide in the PowerPoint presentation.
If there is only one subfolder with same name as the PowerPoint presentation
but without the .ppt extension (for this example, a subfolder named HCI
because the sample PowerPoint is named HCI.ppt):
- Rename the subfolder that has the similar name of the PowerPoint to "images."
- Select the similarly named folder and select the folder again to put the
focus on the folder name, then enter the new name.
- Or, right-click on the "images" folder, select "Rename" then enter the
new name
If there is a subfolder named "images" and a subfolder with same name
as the PowerPoint presentation without the .ppt extension (for this example,
a subfolder named HCI because the sample PowerPoint is named HCI.ppt):
- Delete the subfolder named "images" in two ways:
- Select the "images" folder and then the "X" in the toolbar.
- Or, right-click on the "images" folder and select "Delete."
- Rename the subfolder that has the similar name of the PowerPoint to "images."
- Select the similarly named folder and select the folder again to put the
focus on the folder name, then enter the new name.
- Or, right-click on the "images" folder, select "Rename" then enter the
new name
